How to get access

There are two groups of Attendance Service CMS users. 

  • School kaimahi include the roles of Attendance Lead, Primary Contact and Office Support.
  • In-School Provision contract (ISP) and catchment Attendance Service Providers (ASP) include the roles of Workflow Lead and Case Manager.

All users must first have an Education Sector Login.

School Kaimahi

If you are an Attendance Lead, Primary Contact or Office Support at a school, you must

Ask your Delegated Authoriser to give you access to the Attendance Service Case Management System (CMS).

An online learning course is available to help you get the most out of the Attendance Service CMS. You can still use the Attendance Service CMS if you haven’t completed the course.

All school roles are able to submit Chronic Absence Support Requests, add case comments, upload files and access reporting about cases that they can see. More information about each role is shown below:

  • Attendance Lead
    • This role can see all attendance cases in the Attendance Service CMS for students who are currently enrolled at that school. The Attendance Lead can also be named as the School’s Primary Contact for any case. There can be more than one person with the Attendance Lead role at any school.
  • Primary Contact
    • This role can be named as the School’s Primary Contact on any attendance case in the Attendance Service CMS. They only have access to the cases where they are the named School’s Primary Contact. The Primary Contact is the person who receives automated alerts about changes to the case, and they are the person that the service provider Case Manager will contact to discuss the case and collaborate on support provision. There can only be one Primary Contact on any case, but you can be the Primary Contact on any number of cases. There can be more than one person with the Primary Contact role at any school.
  • Office Support
    • This role can access all cases for enrolled students, in order to add case comments, upload files or print out support requests. There can be more than one person with the Office Support role at any school. 

In-School Provision and catchment Attendance Service Provider

If you are an Attendance Service Provider (ASP) or if you have an In-School Provision contract (ISP), to gain access to the Attendance Service Case Management System (Attendance Service CMS), you must:

Get an Education Sector Login (ESL)

The Delegated Authoriser (DA) in your organisation will help you get an ESL and request access for you to the Attendance Service CMS. Your DA will choose which role to assign, from the following options. 

  • Workflow Lead
    • This role can see all cases that have been allocated to the service provider. They manage the queue of new cases and assign a Case Manager to each case. The Workflow Lead can also be assigned themselves as a Case Manager. The Workflow Lead maintains oversight of workflow, caseloads and service levels.
  • Case Manager
    • This role can see all cases that they have been assigned as Case Manager. They work closely with the student, caregivers and School’s Primary Contact and keep detailed notes in the Attendance Service CMS so that support is consistent, collaborative and documented.

Complete a mandatory online learning module

Once the request is complete, you’ll receive an email with a link to the online learning module that shows you how to use the Attendance Service CMS. Follow the instructions in the email to log in to the Ministry’s Learning Management System using your ESL. To pass the online learning module, you need to answer a set number of questions correctly.

You will be able to log into the Attendance Service CMS 1 - 2 days after completing and passing the online training module.
